Working within the Combined Forces Special Enforcement Unit – BC (CFSEU-BC), the Organized Crime Agency of BC (OCABC) is recruiting a hard-working, self-motivated candidate for an Administrative Assistant position located in the Island District.
Reporting to the NCO i/c Island District, the Administrative Assistant will be responsible for:
- Defining, implementing and managing the administrative processes used in the office
- Coordinating the logistics for meetings including arranging meeting rooms, preparing and distributing agendas, taking and distributing minutes and monitoring action items to ensure deadlines are met
- Developing and maintaining the filing system including disposing, archiving and retrieving files
- Monitoring the inventory and purchases of office supplies, assured loading tickets, equipment and furniture
- Preparing, processing, submitting and distributing correspondence, reports, forms, presentations, manuals and other documents
- Performing general receptionist duties including dealing with couriers and suppliers
- Responding to inquiries from lawyers, police officers as well as members of the public
- Tracking and preparing reports for the unit, including but not limited to overall project expenses
- Providing financial support services including processing, reconciling, certifying accounts payable (i.e. invoices, Visa statements, etc.) and travel expenses
- Maintaining the unit work schedule in an electronic calendar and on TEAM
- Collecting and distributing employee and member timesheets, expenses, overtime and annual leave accordingly which includes reporting to the partner agencies
- Completing forms, as required for signatures and submissions
- Other related duties, as required
We are looking for a strong team player with a positive attitude and following qualifications:
- High School Graduation
- Minimum one to three years of relevant administrative experience
- Experience with Microsoft Teams, Word, Excel, Adobe and Outlook
- Excellent interpersonal skills and customer focus
- Excellent written and verbal communication skills
- Solid organization skills with attention to detail and the ability to manage multiple tasks concurrently
- Understanding of the police environment would be an asset
- Ability to obtain and maintain a RCMP police security clearance.
Annual Salary: $55,926.00- $58,149.00 – $60,352.50- $62,556.00 – $64,779.00
This is a civilian unionized position with CUPE 718, working 37.5 hours per week. This position requires in-office attendance.
A pool of candidates may be established to staff additional positions in the future.
